"How can I help?"
deserves an answer the same minute.
"Where do I donate?" "Do you need volunteers this weekend?" "How do I register for the walk?" An appeal brings people who want to act right now, and a small team can't answer them all. Reachlee replies on Instagram and your Facebook Page with the right link, collects volunteer details inside the DM, and files everyone into folders your coordinators can use. Donations stay on your donation page; Reachlee never takes money in a DM.
The short answer
Nonprofits use Instagram and Facebook Messenger automation to answer the three questions every appeal creates (where to donate, how to volunteer, how to attend) the moment someone asks. Reachlee sends the right link, collects volunteer contact details inside the DM, and sorts supporters into folders. It works only with people who comment or message first, and it never handles donations; those happen on your own donation page.
An appeal's attention lasts hours, not days
When an appeal lands, whether it's an emergency response, a fundraising challenge or a volunteer call before a big weekend, interest peaks in the first hours and then fades. Most small organisations answer messages when a staff member or volunteer has time, which is often that evening or the next morning. By then the person who asked where to give has moved on, not because they changed their mind but because the moment passed. Read a week of a nonprofit's DMs and the routine questions repeat: where do I donate, how do I sign up to volunteer, how do I register, where does the money go, will I get a receipt. Then there's a smaller, different group of messages: people who need help themselves. Those should reach a person, not a form. Automation earns its place by answering the routine supporter questions instantly and making sure everything personal lands with your team.
- Donate: the link to your donation page, at any hour, under every appeal post.
- Volunteer: a short sign-up inside the DM with availability and contact details, saved to a folder.
- Attend: an event sign-up that saves their spot and sends the details.
- Asking for support: routed to a person, never into a fundraising flow.
Setting it up with a small team
Connect Instagram and your Facebook Page
Sign in with Google, open Settings → Connected accounts and connect your Instagram professional account through Meta's login. On Pro, connect your Facebook Page too; you need to be an admin of the Page. Both sit in one dashboard, each with its own automations and contacts.
Put the donation link on a keyword
In Automations → New, pick the appeal post, set the keyword GIVE or DONATE, and write the public reply and the DM with a button to your donation page. Every button is a tracked link, so you can see which post sent the most people to the page.
Build the volunteer sign-up
In the flow builder, ask when they can help with tap answers such as Weekdays, Weekends or Remote, then Ask for an email or phone, then Add to folder: Volunteers. On Business, an Add to Google Sheet step puts each sign-up straight into your coordinator's sheet.
Use the Event sign-up template for registrations
The Event sign-up template turns "comment JOIN" into a saved spot: it asks for an email, adds the person to an event folder and sends the details link. It works on Instagram and on Facebook Page posts.
Follow up with supporters who are reachable
In Campaigns, pick the Volunteers or event folder and send a thank-you or the next opportunity. People who messaged you in the last 24 hours get it at once; on Pro, Keep it open delivers it to the rest when they next message you, for up to 30 days.
What a nonprofit actually automates
Small teams, big spikes: each of these replaces a reply someone would otherwise type at night.
Donation link on a keyword
A comment with your keyword gets a DM with a tracked button to your donation page and a public reply under the comment. On Pro the same automation can cover any post, your next post, or up to 10 posts in one appeal series.
Volunteer sign-up inside the DM
Questions with up to 13 tap answers, free-text answers saved under a name you choose, and an email or phone step that checks the reply and asks once more if it doesn't look valid. No external form to abandon.
Event registrations
Comment JOIN, leave an email, get the details: the Event sign-up template builds that flow and its folder for you. Folders keep each event's sign-ups separate on the Contacts page and in the Inbox.
Facebook Page comments to Messenger (Pro)
Many nonprofits do most of their community work on a Facebook Page. Page posts get the same keyword automations, sending a private Messenger message, plus up to four ice breakers on the Page for people starting a new chat.
Supporter folders and segments
Volunteers, Event sign-ups, Newsletter: file people as they answer. Segments save filters such as "has an email" or "clicked the donation link in the last 30 days", so you can see who engaged with which appeal.
Google Sheets and team seats (Business)
Every captured email or phone number can land in a Google Sheet as it arrives, tagged with where it came from, and five seats let staff and a volunteer coordinator share the Inbox and the automations.
Three moments in a nonprofit's inbox, before and after
The emergency appeal
An appeal post spreads overnight. Comments asking where to give pile up, and the one staff member who handles social media answers what they can the next morning.
Every GIVE comment gets the donation link in a DM within seconds, with a public reply underneath. Comments that arrived before the automation went live are swept up with Retrigger on Pro, covering the last 7 days.
The volunteer drive
"How do I sign up?" arrives in DMs all week. Availability and phone numbers are scattered across threads, and the coordinator rebuilds the list by hand.
The VOLUNTEER flow asks for availability and a phone number and files each person in the Volunteers folder. On Business, each sign-up appears in the coordinator's Google Sheet as it happens.
The annual fundraising walk
Registration questions arrive on Instagram and on the Facebook Page, and two people answer them in two separate apps.
The Event sign-up flow runs on both accounts from one dashboard. You switch between the Instagram account and the Page from the header, each with its own contacts, and one login covers both.
What Reachlee AI answers for a nonprofit
On Growth ($14/mo) the AI answers supporter questions from what your team writes down. It never invents a figure, a link or a promise.
"Where does my money go?"
Add your impact report or annual report page as a knowledge source and the AI answers from it, in the language the supporter wrote in. It won't produce a statistic that isn't in what you gave it.
"Will I get a receipt?"
Write down how receipts work for your organisation and the AI explains it as written. It's set not to give tax, legal or financial advice, so anything beyond your written process goes to a person.
Messages from people who need help
When the AI can't answer from your knowledge, when a message reads as a problem, or when someone asks for a person, the conversation is flagged Needs you and your team gets an email, or a Telegram message if connected, instantly or in a digest as you choose.
Priced for a small team
Free: 1 Instagram account, 1,000 DMs a month, 100 active contacts and 10 leads, enough to run one appeal on Instagram. Pro ($9/mo): unlimited DMs, contacts and leads, your Facebook Page, 3 connected accounts, any-post triggers, follow-ups, Retrigger, scheduled campaigns with Keep it open, and no Reachlee branding. Growth ($14/mo) adds Reachlee AI with 1,000 credits a month. Business ($29/mo) adds 5 team seats, 10 accounts and Google Sheets, which is the plan for staff plus a volunteer coordinator.
Start freeNonprofit questions, answered honestly
Can supporters donate inside the DM?
No. Reachlee doesn't process payments of any kind. The DM carries a button to your own donation page, and the giving happens there, on the platform you already use, with its receipts and records. Reachlee's click tracking tells you how many people tapped through from each post; it can't tell you who donated or how much, so measure gifts in your donation platform as usual.
Can we message all our followers about an urgent appeal?
No, and no compliant tool can. Meta lets an organisation message someone only within 24 hours of that person's last message to it, and never lets a business start a conversation with someone who hasn't engaged. Campaigns send to supporters who messaged recently and, with Keep it open on Pro, to others when they next message you. To reach many people quickly, post the appeal with a comment keyword or a story asking for replies: everyone who responds gets the link and becomes reachable.
Is this allowed by Meta? Could our account or Page be restricted?
Reachlee works only through Meta's official APIs and is a Meta-verified Tech Provider, so nobody shares a password and nothing scrapes your account. It replies to people who engaged first, sends one private reply per comment, stays inside the 24-hour window, and paces sends, pausing automatically when Meta signals a rate limit. Restrictions happen to accounts using unofficial bots that follow or message strangers in bulk.
We mostly use Facebook. Does it work on a Page?
Yes, from Pro. A Facebook Page gets comment-to-Messenger, keyword replies, up to four ice breakers, email and phone capture, product carousels, follow-ups and Retrigger, with Reachlee AI on Growth. You need to be an admin of the Page to connect it. Story triggers and the follow check are Instagram only, because Meta doesn't provide them for Pages.
Why not use HELP as the volunteer keyword?
Because keyword matching ignores case and matches whole words, so "I need help" would trigger a volunteer form, and the person asking for support would get a sign-up sheet instead of a reply. Use VOLUNTEER, or another word nobody types by accident. The flow builder also lets a trigger skip comments that contain words you list, which helps keep sensitive messages out of an automation.
Can we send volunteers a reminder before the event?
Partly. A campaign to the Volunteers folder reaches people who messaged you in the last 24 hours, and on Pro it holds the message for others until they next message you. It can't guarantee every volunteer sees it in time, because Meta doesn't allow that. For must-arrive reminders, use the emails and phone numbers the sign-up flow collected, through the email or SMS tool you already use.
Can several staff and volunteers share the account?
On Business ($29/mo) the workspace has five seats, the owner plus four invited teammates, sharing the same Inbox, automations and contacts. Pro is a single seat. Billing, invites and integrations stay with the workspace owner, so a departing volunteer never takes the account with them.
Is the Free plan enough for a small charity?
For a first appeal on Instagram, often yes: 1,000 DMs a month, 100 active contacts and 10 captured leads. Facebook Pages need Pro, and so does lifting the 10-lead cap, which a volunteer drive passes quickly because every email or phone number counts. Pro is $9/mo with unlimited DMs, contacts and leads.
