Everyone who DMs or comments,
in one list you can act on.

Reachlee turns every person who comments, sends a DM, replies to a story or answers an automation into a contact, with their email or phone if they shared one. Sort them into folders, save segments that update themselves, see who you can message right now, and send a campaign or export them. For Instagram and Facebook Pages.

Updated October 2026 · Human-verified
Built on Meta's official API · Meta-verified Tech Provider · Free for 100 active contacts; unlimited from $9/mo
1Contacts are created automatically the first time someone comments, sends a DM, replies to a story or answers one of your automations. There is nothing to import or type in.
2Each contact has a status that answers one question, can you message them right now: Active, Inactive, Pending or Opted out, based on Meta's 24-hour rule.
3Folders (lists you choose) and segments (saved filters) organise them; bulk actions file, export, opt out or start a campaign. Free covers 100 active contacts, 3 folders and 3 segments; paid plans are unlimited and add exports.

The short answer

Reachlee works as a lightweight Instagram CRM. Every person who comments on your posts, sends a DM, replies to a story or answers an automation becomes a contact automatically, with any email or phone number they shared. You sort them with folders and segments, see whether each one can be messaged right now, and send them a campaign or export them to your email tool or CRM. Facebook Pages work the same way.

What an Instagram CRM should actually hold

Most people who want an Instagram CRM are keeping one already, badly: a spreadsheet of usernames, a notes app of who asked about price, a memory of who bought. The problem isn't storage, it's that none of it updates itself and none of it knows what Instagram will let you do next. Reachlee's Contacts page is built from your conversations. The moment someone interacts with your connected account, they appear with their name, @handle and the channel they came from, and their record keeps moving: when they last commented or messaged, which automation they got, which link they clicked, the email they typed into an automation. Each one also carries a status that reflects Meta's 24-hour rule, because the most useful thing a social CRM can tell you is whether you're allowed to message a person right now. It is not a sales pipeline with deal stages and forecasts. It is the list of everyone talking to you, sorted the way you need it, with a direct line to message them inside the rules.

  • The record: name, @handle and channel, status, email, phone, folders and last active, with sorting on every column.
  • The detail: click a contact to see their conversation, folders, captured info, activity and notes, and jump to the thread in the Inbox.
  • The lists: folders you fill by hand or with automations, and segments that work out who matches every time you open them.

Four statuses, and what each one lets you send

StatusWhat it meansWhat you can send
ActiveMessaged you in the last 24 hoursInbox replies, automations, and a campaign right away
InactiveTheir last message is more than 24 hours oldNothing until they write again; an open campaign reaches them then
PendingCommented or interacted, but never sent a DMOne private reply to a fresh comment, within 7 days; no campaigns
Opted outAsked to stop, or you opted them outNothing: automations, campaigns and AI replies all skip them

The status is Meta's 24-hour rule, shown per person. Hover the ? on any status pill in Contacts to see the exact reason for that contact.

How it works

From a comment to a contact you can act on.

01

They interact, and the contact appears

Someone comments on a post, sends a DM, replies to a story or answers one of your automations. Reachlee adds them to Contacts the first time, under the connected account they talked to, with their name, their @handle where the channel has one, and a channel icon. Followers who never interact don't appear, because there is nothing to record and nothing Meta would let you send them.

02

The record keeps itself current

Every new message, comment or story reply moves Last active and the status. Emails and phone numbers land on the contact when they share one in a DM, through an automation or through a campaign step, and you can edit them in the contact's details. Follow status fills in when people interact with an automation or campaign, and follower count once they've messaged you.

03

Sort them into folders and segments

Add people to folders such as Hot leads or Customers from a row, in bulk, from the Inbox, or automatically with an Add to folder step. Build segments with Filters, or describe who you want in plain words and let Reachlee fill in the filters, then check them and save the segment as a tab above the table.

04

Act on the list

Select people, or a whole page, and use the bar at the bottom: Add to folder, Remove from folder, Export, Send campaign or Opt out. Opt out asks you to confirm and offers an undo. Export downloads a CSV for Meta Ads, your email tool or a full backup.

What's inside

The parts that make it useful day to day.

Everything below works on Instagram professional accounts and Facebook Pages, one contact list per connected account.

01

Statuses you can trust

Active, Inactive, Pending and Opted out are worked out from when each person last messaged you, not from comments, because a comment doesn't let you message someone freely. That keeps you from treating a commenter as someone you can DM, and it is the same rule campaigns use to decide who gets a message.

02

Folders that follow the person

A folder lives on the contact, so the Contacts table and the Inbox agree. Folders show in the Inbox sidebar under Inbox, where one click filters conversations to Hot leads or Wholesale enquiries. One person can sit in as many folders as you like, and deleting a folder never deletes the people in it.

03

Segments with 16 filters

Filter on engagement (last activity, first seen, messaged you, commented, clicked a link), on automations and AI (got an automation DM, Reachlee AI replied), or on contact info (folder, status, follows you, you follow them, email, phone, name, username, follower count). Match all filters or any of them, and the count updates as you build.

04

Describe who you want

Type "messaged me in the last week and has no email" and Reachlee fills in the filters for you. Check them before saving, because a description is a starting point, and if part of it asks for data Reachlee doesn't have, it says so instead of guessing. Free includes 5 descriptions a day; paid plans include 100.

05

Bulk actions with a safety net

Add to or remove from a folder, export, start a campaign with exactly the people you selected, or opt them out, for a selection or the whole page. Opting people out is the one action that stops messages, so it asks first and gives you an undo, and anyone can be opted back in from their contact details.

06

Exports in the shape you need

Pro and above: download a Meta Ads custom audience (only people with an email or phone, in the columns Ads Manager maps), a CRM and email tools list, or Everything Reachlee knows. Tick Only export contacts matching this view to export just the folder or segment on screen.

Real scenarios

Three ways people use it in the first week.

Hot leads that used to get lost in the Inbox

Before

Someone asks about your bulk price on Tuesday, you mean to get back to them, and by Friday the thread is forty conversations down and the person has bought elsewhere.

With Reachlee

You add them to a Hot leads folder from the conversation itself. The folder sits in the Inbox sidebar, so Hot leads is the first thing you open each morning, and a campaign can reach all of them the next time they write in.

Engaged contacts with no email yet

Before

Hundreds of people have messaged you this month and almost none are on your email list. You can't tell who is warm and who went quiet weeks ago.

With Reachlee

A segment of contacts active in the last 7 days with Email empty shows exactly who to ask. Send them the Collect emails campaign, and every address they give is saved to the contact and leaves the segment by itself.

Customers kept out of sales pitches

Before

You send a discount to everyone who messaged you, including the customers who paid full price last week, and two of them ask for the difference back.

With Reachlee

A Customers folder, filled by hand or by an Add to folder step after a purchase question, is excluded from every offer campaign. Export a Has email segment for a Meta Ads custom audience, and leave the customers out of that too.

Pricing

The contact list is free. Unlimited lists and exports are $9/mo.

Free includes 100 active contacts, 10 leads, 3 folders, 3 saved segments and 5 descriptions a day, and filtering without saving is unlimited. Statuses, sorting, the contact details, bulk folder actions and opt-out are never gated. Pro at $9/mo makes contacts, leads, folders and segments unlimited, raises descriptions to 100 a day and adds CSV exports. Business at $29/mo adds Google Sheets, so captured leads land in a spreadsheet as they come in, plus 5 team seats on the same workspace.

FAQ

Instagram CRM questions, answered honestly.

Do I need to import my followers?

No, and you couldn't if you wanted to. Meta's messaging API has no way to message a follower who never contacted you, so a list of followers would give you nothing to act on. Reachlee adds people as they interact: comments, DMs, story replies and automation answers. That is why the list is useful from day one: every contact on it is someone who has engaged with you, with a status that says what you can send them.

Why do so many of my contacts show as Pending?

Because they commented but never sent you a DM. A comment is public, not a conversation, so Meta allows one private reply to it and nothing more until the person writes back. Pending contacts can still get that private reply from a comment-to-DM automation. If your first DM has a button and they tap it, or they reply, they become Active and the rest of your tools can reach them.

Does it replace HubSpot or Salesforce?

No. Reachlee has no deal pipeline, stages or forecasting, and it doesn't sync directly with HubSpot or Salesforce. It is the layer that captures and sorts people from Instagram and Facebook conversations. To move them on, export the CRM and email tools CSV on Pro, or use Google Sheets on Business, which adds each captured lead as a row as it arrives, and import from there into the CRM you already use.

Will this get my account in trouble?

Contacts itself sends nothing; it only records who interacted with you. When you do message people from it, through a campaign or an automation, Reachlee applies Meta's rules: no first contact, the 24-hour window, one private reply per comment. Pending and Opted out contacts are skipped automatically. Everything runs on Meta's official API as a Meta-verified Tech Provider, with no scraping of your followers or anyone else's.

Are my Instagram and Facebook contacts in one list?

Each connected account has its own contact list: one for each Instagram professional account and one for each Facebook Page. Switch account at the top of the sidebar to see another list. The channel icon next to each username shows where a person came from, and folders and segments work the same way on both channels.

Can my team work from the same contacts?

Plans apply to the workspace, and on Business you can invite up to four teammates, five seats in all, who see the same contacts, folders, segments and Inbox. Folders are shared, so a teammate who files someone into Hot leads makes that visible to everyone. Pro, Growth and Free are single-seat.

What happens when someone opts out?

They stop receiving every automated message: automations, campaigns and Reachlee AI replies. They stay in your contacts with the Opted out status, so you keep the history and nobody is accidentally messaged from an old segment. If they change their mind, open their contact details and choose Opt back in. People can be opted out by an Opt out step in a campaign, from the bulk bar, or by you.
